Role Overview
The successful candidate will be responsible for planning and delivering seamless guest operations, including VIP protocol, ministerial and delegation management, invitations, registration, travel logistics, hospitality, and on-site guest services. The ideal candidate has extensive experience supporting government events, ministerial delegations, VIPs, senior executives, and international delegates, ensuring exceptional service while adhering to protocol requirements.
Key Responsibilities
Lead the end-to-end guest management strategy and execution across all event phases
Manage guest invitations, RSVP tracking, accreditation, registration, and attendee communications
Plan and oversee protocol services for ministers, government officials, diplomats, VIPs, and international delegations
Coordinate airport arrivals and departures, meet-and-greet services, immigration facilitation (where applicable), transportation, accommodation, and hospitality arrangements
Develop detailed guest journey plans and operational procedures to ensure a seamless participant experience
Coordinate with protocol offices, government authorities, hotels, transport providers, venues, security teams, and event stakeholders
Manage VIP lounges, hospitality areas, executive holding rooms, and on-site guest service operations
Prepare guest manifests, seating plans, movement schedules, briefing documents, and protocol notes
Lead and supervise guest management teams, registration staff, volunteers, and hospitality personnel
Resolve guest issues promptly while maintaining professionalism and discretion
Ensure compliance with event protocols, security requirements, and service standards
Produce post-event reports, operational reviews, and recommendations for continuous improvement
Required Qualifications
Bachelor’s degree in Event Management, Hospitality Management, Tourism, Business Administration, or a related field
Minimum 7-10 years of experience in guest management, protocol, hospitality, or event operations
Demonstrated experience delivering international conferences, summits, forums, exhibitions, or government events
Proven experience managing VIPs, ministers, senior government officials, diplomats, C-suite executives, and international delegations
Strong understanding of government protocol, diplomatic etiquette, and executive hospitality
Experience managing large-scale guest registration systems and accreditation processes
Excellent stakeholder management, communication, and organizational skills
Ability to manage multiple priorities in a fast-paced event environment
Proficiency with event registration and guest management platforms is preferred
Willingness to travel and work flexible hours during event delivery
Preferred Experience
Candidates with experience delivering international conferences, government summits, ministerial forums, economic forums, global congresses, G20/GCC/UN-related events, government ceremonies, state visits, royal or diplomatic events, or expo-scale events are highly preferred.
